By Paypr · Updated September 8, 2026

Keep one weekly sheet per nanny or babysitter. Record the actual time worked, then keep payments separate so you can see both the hours and any amount still owed.

How to fill it in

  1. Choose a consistent workweek and record dates, start and end times. Split shifts across separate rows if needed.
  2. Subtract only breaks that should be unpaid under the rules that apply. Convert minutes to fractions of an hour: 30 minutes is 0.5.
  3. Record the agreed rate and calculate the amount earned. Check overtime separately; this blank template does not apply overtime rules.
  4. Record each payment with its date. Subtract payments from the amount owed, carrying any previous balance forward.
  5. Check the sheet together before payday. Keep corrections and notes understandable to both people.

Worked example: five short shifts and a partial payment

Five shifts from 9am to 3pm, with no unpaid break, total 30 hours. At an example $20/hour, that is $600. With no previous balance, a $400 payment leaves $200 outstanding. The downloadable example shows those five shifts and the payment on the final row. The rate is illustrative.

Can I use this for babysitting?

Yes. Use the actual booking dates and agreed rate. For a one-off booking, the babysitter pay calculator works out the amount. For weekly pay planning, try the nanny pay calculator.

What about overtime and taxes?

This is a record template, not a payroll calculation. Check our overtime guide and the applicable rules before calculating pay. Keep tax and filing work separate from the hours log.
